1. What this policy covers
This policy explains how Roomr Inc. ("we") uses cookies and similar technologies - including browser local storage, session storage, pixels and software development kits - on roomr.ai and in the Roomr web application (the "Service"). It should be read with our Privacy Policy, which explains how we use personal data more generally.
Cookies are small files placed on your device by a website. Local storage works similarly but lives in your browser without being sent with every request; our 3D design tool uses it to keep your workspace state.
"First-party" items are set by us; "third-party" items are set by service providers we use.
2. How we ask for consent
- Strictly necessary items are always on - the Service does not work without them.
- All other categories are OFF by default for visitors from the UK, the EU/EEA, Switzerland and any US state that requires consent, until you choose "Allow analytics" in our cookie banner. "Decline" is offered with equal prominence to "Allow analytics" and takes one click.
- You can change or withdraw your choice at any time via "Cookie settings" in the website footer. Withdrawing consent stops future use; it does not affect data already collected, which is handled under the Privacy Policy.
- We re-ask for consent at least every [6/12] months, or when we add a new category.
- We honour the Global Privacy Control (GPC) browser signal as an opt-out from any "sale" or "sharing" of data under US state privacy laws.
3. The cookies and similar technologies we use
| Name | Purpose | Category | Lifetime |
|---|---|---|---|
roomr_analytics_consent_v1 | Records whether optional analytics was allowed or declined across Roomr subdomains. | Essential preference | 6 months |
__session and numbered chunks | Auth0 authentication, session integrity, and account security. | Strictly necessary | Authentication session |
roomr_guest_session | Secures a guest preview session requested by the visitor. | Strictly necessary | 30 days |
locale | Remembers the language the site was served in, so a later visit opens in the same language. It holds a language code and nothing else, and is not used to identify or track you. | Essential preference | 1 year |
ph_<project-token>_posthog and bounded companion metadata | Shares a limited PostHog identity and session subset across landing and application pages. | Optional analytics | Up to 6 months |
4. Categories explained
- Strictly necessary: authentication, security, session state, payment fraud prevention, consent storage, the language the site is served in, and the editor’s local workspace state. Cannot be switched off; disabling them in your browser will stop the Service working.
- Functional: remember your preferences so you don’t have to set them each visit. Optional.
- Analytics: help us understand how the Service is used so we can fix problems and improve it. Data is aggregated; optional.
5. Analytics and session replay
When allowed, Roomr sends product events to the EU PostHog service at eu.i.posthog.com. These may include a Roomr user identifier, page and device information, feature interactions, and project-related event identifiers. We do not send subscription-form contents to PostHog.
Session replay is disabled on the landing site. In the authenticated application, replay may record masked interface interactions and the room-design canvas after permission is granted. Form inputs and DOM text are masked. The room-design canvas is recorded as rendered and may contain content visible within it. Analytics events are intended to be retained for no more than 12 months and recordings for no more than 30 days.
6. Browser controls
Most browsers let you block or delete cookies and clear local storage through their settings, and the major browsers offer guidance on how to do so. Blocking strictly necessary items will prevent you from logging in or using the editor.
7. Contact
For questions or privacy-rights requests, contact privacy@roomr.ai. See the Privacy policy for more information. We will update this policy when the technologies we use change; the date at the top shows the current version.
